Privacy Policy
Rallib is used by organizers to run events and by attendees to register, check in and meet people. This policy explains what data moves through the platform, who controls it and the choices attendees have.
Two kinds of users
Organizers create events on Rallib and decide what information to collect from their attendees. For attendee data, the organizer is the controller and Rallib processes that data on the organizer's behalf. For organizer account data, such as your login and billing details, Rallib is responsible for it directly.
What we collect from organizers
- Account details: name, work email, organization, role and city.
- Event content: pages, agendas, speakers, ticket types, sponsor packages and branding.
- Billing details needed to charge platform fees. Card numbers are handled by our payment partners, not stored by us.
- Usage information such as device type, browser and pages visited inside the dashboard, used to keep the service reliable.
What organizers collect from attendees
- Registration details: name, email, phone and any custom questions the organizer adds.
- Ticket and payment status. Payment details are processed by licensed payment partners and never stored by Rallib.
- Check-in scans, session attendance and badge prints.
- Networking profile, interests and goals, only for attendees who opt in to Networking Match.
- Session ratings and feedback, if the organizer runs post-event surveys.
How the data is used
- To sell tickets, issue QR badges and check attendees in.
- To build agendas and predict session turnout for the AI Agenda Planner.
- To suggest networking matches for attendees who opted in.
- To produce event recaps and sponsor reports for the organizer.
- To send event updates such as room changes, reminders and receipts.
We do not sell attendee data or organizer data, and we do not use attendee data to advertise to attendees on behalf of anyone else.
Sponsors and booth scans
Sponsors only receive attendee details when the attendee chooses to share them, for example by letting a booth scan their badge or accepting a sponsor meeting. A sponsor sees only the leads its own staff collected, limited to the fields the organizer has set for sharing.
Networking Match choices
Networking Match is opt-in. Attendees decide whether to appear in suggestions, which profile fields others can see and whether to accept a meeting. They can leave matching at any time from their attendee profile.
AI features
The AI Agenda Planner, Networking Match and Event Recap AI use event data to make suggestions and drafts. Organizers review suggestions before they take effect and edit recaps before they are sent. Event data from one organizer is not used to make suggestions for another organizer's attendees.
Retention
Organizers can export or delete event data from the dashboard. Attendee data is kept for as long as the organizer keeps the event in their account. When an organizer account is closed, its event data is deleted within 90 days, except where records must be kept for tax or legal reasons.
Security
Data is encrypted in transit and at rest. Access inside an organizer workspace is controlled by roles, so volunteers at a check-in desk do not see finance or sponsor data. Scanner devices hold only the guest list needed for check-in and clear it after the event.
Attendee rights
Attendees can ask to access, correct or delete their data. Because the organizer controls attendee data, we pass such requests to the organizer of the event and help them respond. Attendees can also contact the organizer directly using the details on the event page.
Cookies
This website and event pages use essential cookies to keep you signed in, protect forms from spam and remember your preferences. We do not use advertising cookies on event pages.
